How to keep original chat files and screenshots
Keep an untouched source set, make working copies, and document what changed when preparing a readable conversation record.
Keep the original export or screenshot files unchanged, make separate working copies, and store a second copy somewhere you control. A polished PDF is useful for reading, but the original files let you check how that reading copy was made.
This is a practical organization guide. It is not a forensic collection procedure or a guarantee of legal acceptance. If a lawyer, employer, or another reviewer is directing the work, ask about their requirements before altering, deleting, or sharing source material.
Make a small, clear folder structure
Use one folder for the task, with three clearly named sections:
- Originals: the ZIP, TXT, screenshots, and included attachments as received or captured.
- Working copies: duplicates used for extracting, arranging, transcribing, or making privacy edits.
- Reading copy: the final PDF and a short note describing its sources and known gaps.
On iPhone, Apple’s Files organization guide documents creating folders and duplicating files. In a folder, use the More menu and New Folder where available. Touch and hold a file to find actions such as Duplicate. Some locations restrict which actions are available.
These folders are an organizational convention, not a technical protection against changes. Avoid editing files in Originals and do your work on duplicates. A second copy protects against a different problem: accidentally losing the only copy of the folder.
Keep the export container as well as its contents
If WhatsApp gives you a ZIP file, keep it. Extract a copy to inspect its text and attachments. Preserve the names and relationships between the extracted files; an attachment reference can become difficult to follow if the matching image is renamed or moved without a note.
Do not overwrite the text file to improve spelling, change date formats, or remove lines. Those may be reasonable presentation choices for a separate document, but the source and the edited copy should remain distinguishable. WhatsApp’s export guide also makes clear that exported text is not a restorable backup.
Record the date you made the export and the media option you chose. That is a note about your process; it should not be confused with the dates of the messages or with a claim that the export is complete.
Keep screenshots before cropping or marking them up
An original screenshot may contain useful context around the passage you want to share. Keep the full image, then crop or annotate a duplicate if needed. Do not replace the original with an image that has arrows, highlights, blurred areas, or captions added.
For copying images to an external storage device, Apple documents Export Unmodified Original in Photos. The available destination depends on the connected storage and device. Check the exported files rather than assuming a transfer has finished because you started it.
A screenshot’s file date may describe image creation or a later copy operation. It is not a substitute for a visible message timestamp. Likewise, the phone’s status-bar clock should not be assigned to every message on the screen.
Write down the changes you make
Keep a brief note alongside the final document. Useful details include:
- Which source files you used and how you ordered them.
- Which conversation range the reading copy covers.
- Whether you left out images, attachments, or unrelated sections.
- Whether text was copied directly or transcribed from screenshots.
- Which visible information was unclear or missing.
If you rename a working image, keep a mapping to its original file name. If you remove private information from a sharing copy, label that copy as edited and preserve the untouched source separately. Do not imply that a selected excerpt is the full conversation.
OCR needs its own check. Compare extracted text with the image, especially names, numbers, punctuation, and dates. It cannot reconstruct hidden content or confirm a sender’s identity. Mark uncertain text as uncertain rather than supplying what seems likely.
Check the copy you intend to keep
Open the backup folder from its actual storage location. Confirm that the ZIP opens, the text is readable, the screenshots are full size, and relevant attachments are present. Keep a second copy separate from the working folder so one accidental edit does not affect both.
Use a storage location whose access you understand. A shared folder may expose conversations to other people. Before emailing files, verify the recipient and ask whether they need the full source set or a narrower reading copy. You do not need to upload a private conversation to this website: ChatQuire does not accept files here.
ChatQuire is an upcoming iPhone app being designed to make conversation records easier to read. The fictional sample shows proposed numbering and source references. Organization can support review, but it does not determine whether a court will accept a record.
